Quidio Account Deletion and Data Deletion Policy

This Account Deletion and Data Deletion Policy explains how Quidio Ltd, a company registered in England and Wales with company number 17082575 ("Quidio", "we", "us", or "our"), handles requests to delete Quidio accounts and personal information associated with the Quidio websites, mobile applications, seller tools, AI-assisted listing tools, Quidio-hosted seller pages and storefronts, checkout and order-related features, payment and payout-related features, support services, and related services (together, the "Service").
This policy should be read together with our Privacy Policy and Terms of Use.
1. Who this policy applies to
Registered Quidio accounts are currently used primarily by sellers. Buyers generally purchase as guests without creating a Quidio account.
A registered seller may request deletion of their account. A guest buyer, or any other person whose personal information is processed by Quidio, may request deletion of eligible personal information even where no Quidio account exists.
Deletion rights are subject to applicable law and may not require us to delete information that we must or are permitted to retain.
2. How to request deletion
Where the option is available, a registered user may initiate account deletion directly within the Quidio application.

Please provide enough information for us to locate the relevant account, order, or personal information. Do not send passwords, full payment-card numbers, identity documents, or other unnecessary sensitive information by email.
We may take reasonable steps to verify your identity and authority before acting on a request. This helps prevent unauthorised deletion or disclosure of personal information.
3. What happens to a seller account
When a valid seller-account deletion request is approved and processed:

The account will be closed, disabled, or permanently removed from active use.

Access to the seller app, seller tools, shop-management functions, and related services will be revoked.

The public seller profile and storefront may be removed or made unavailable.

Active listings, listing images, descriptions, prices, seller notes, settings, and other user content may be removed from active display.

Private product links and public shop links may stop working.

Any active buyer email subscriptions connected to the seller's storefront will end, and no further new-item emails will be sent for that storefront.

Active subscriber records associated with the storefront will be deleted or permanently deactivated. Limited suppression or compliance records may be retained where needed to prevent further marketing or record an unsubscribe, objection, complaint, bounce, or erasure request.

Personal information associated with the account will be deleted, anonymised, or de-identified where reasonably possible and where continued retention is not required or permitted.
Account deletion does not automatically cancel, reverse, refund, or otherwise alter completed or pending transactions, payment obligations, payouts, refunds, disputes, chargebacks, delivery obligations, or other rights and responsibilities arising before deletion.
Where an order, payout, refund, dispute, chargeback, investigation, or legal matter remains open, we may delay complete deletion or retain the information needed to resolve it.
4. Guest buyers and data deletion
Buyers generally check out without creating a Quidio account. A guest buyer may contact us to request deletion of eligible personal information associated with an order, support request, or other interaction with Quidio.
Certain buyer and order information may need to be retained for transaction administration, delivery, refunds, disputes, chargebacks, fraud prevention, tax, accounting, legal, regulatory, security, or audit purposes.
Information already provided to a seller for order fulfilment may also be held by that seller for their own lawful purposes. Quidio cannot delete information from an independent third party's systems, but we may identify the relevant party where appropriate.
Buyer email subscriptions
Where a buyer has subscribed to receive new-item emails connected to a seller's storefront, the buyer may unsubscribe using the link provided in the email or contact Quidio to request deletion of eligible subscription information.
When a buyer unsubscribes, objects to direct marketing, withdraws consent, or completes an eligible deletion request, Quidio will stop the relevant marketing emails and delete or permanently deactivate the active subscription record.
Quidio may retain a limited suppression record where necessary to record the request and prevent the buyer from being added back to a marketing list or contacted again by mistake. Suppression information is retained only for this compliance purpose and is not used to send marketing.
5. Information we may retain
Following account closure or a deletion request, Quidio may retain information where retention is required or permitted for purposes including:

Tax, accounting, and financial recordkeeping.

Transaction, payment, payout, refund, and reconciliation records.

Delivery, complaint, dispute, and chargeback management.
-
Fraud prevention, platform safety, security, abuse prevention, and incident investigation.

Compliance with legal, regulatory, court, law-enforcement, or enforceable contractual requirements.

Establishing, exercising, or defending legal claims.
-
Enforcing our Terms of Use and other policies.
-
Maintaining records of deletion requests, consent, restrictions, or objections.
-
Maintaining limited suppression records to prevent future direct marketing following an unsubscribe, objection, complaint, bounce, or erasure request.

Limited backup, disaster-recovery, and system-integrity purposes.
Our general retention position is described in the Privacy Policy and currently includes:

Account data: for the life of the account and generally for up to 12 months after account closure or deletion.

Transaction, payment, tax, and accounting records: generally for 7 years where needed for legal, tax, accounting, dispute, or audit purposes.

Dispute records: generally for 120 days after completion or until the dispute is resolved, whichever is later, unless longer retention is required.

Device and usage data: generally for up to 12 months.

Security, fraud, support, and audit records: for as long as reasonably necessary for the relevant purpose.
These periods are general guidelines. A shorter or longer period may apply where required or permitted by law or reasonably necessary for the relevant purpose.
6. Stripe and other third parties
Stripe provides payment processing, seller payouts, Stripe Connect onboarding, identity verification, fraud checks, and related financial services.
Deleting a Quidio account does not automatically delete information held by Stripe or another third party acting as an independent controller. Those organisations may retain information under their own legal obligations, terms, and privacy notices. A separate request may need to be made directly to the relevant organisation.
Quidio does not receive or store full payment-card numbers and does not normally receive complete identity-verification documents submitted through Stripe.
7. Listings, images, AI-assisted content, and Product Intelligence
Account deletion may remove listing photographs, titles, descriptions, prices, corrections, seller notes, AI-generated content, and related user content from active display.
Deletion may not require removal of information that has already been lawfully:

Aggregated.
-
Anonymised.
-
De-identified so that it no longer identifies an individual.
-
Converted into non-personal analytics or Product Intelligence.
-
Incorporated into product-recognition, classification, valuation, marketplace-intelligence, fraud-prevention, security, testing, or service-improvement systems.
Quidio may retain and use aggregated, anonymised, de-identified, or otherwise non-personal information where it no longer identifies an individual.
Identifiable personal information or raw user-submitted content will only be retained, used, shared, licensed, or otherwise processed where Quidio has an appropriate lawful basis, contractual right, user permission, or other valid legal basis.
8. Backups and technical deletion
Deleted information may remain in encrypted or access-restricted backups for a limited period until those backups are overwritten or securely deleted in accordance with Quidio's backup cycle.
Information retained only in backups will not normally be restored to active systems except where required for disaster recovery, security, legal compliance, or system-integrity purposes. Where restored, previously actioned deletion requirements will be reapplied where reasonably possible.
Some technical records may also be retained temporarily in logs, caches, monitoring systems, or security records before being overwritten or deleted under the applicable retention process.
9. Processing time
We will process valid deletion requests without undue delay.
Where UK GDPR, EU GDPR, or similar privacy legislation applies, we will generally respond within one month of receiving a valid request. We may extend this period where permitted by law because a request is complex or multiple requests have been made. We will explain any permitted extension.
The processing period may begin after we receive information reasonably needed to verify identity or locate the relevant data.
10. Before deleting an account
Account deletion may be permanent. Before requesting deletion, users should save any information they wish to keep.
Deleting a seller account will also end buyer email subscriptions connected to the storefront and stop future new-item emails for that storefront.
After permanent deletion, it may not be possible to recover account access, profiles, storefronts, listings, images, messages, settings, AI-generated content, or transaction information previously available through the Service.
A person who later wishes to use Quidio again may need to create a new account and complete any required onboarding or Stripe verification again.
11. Other data protection rights
Depending on your location and applicable law, you may also have rights to:

Request access to personal information.

Request correction of inaccurate or incomplete information.

Request restriction of processing.

Object to certain processing.

Request portability of information.
-
Withdraw consent where processing is based on consent.

Object to direct marketing.
-
Complain to a data protection authority.

13. Changes to this policy
We may update this policy from time to time. We will update the "Last updated" date when changes are made.
